Cancellation Policy
You may cancel within the period stated on your contract (please note: this period varies depending on each location, so please check your contract). If you paid a deposit or any rental fees for your booking and you are able to cancel under the terms of your contract, these will be refunded to you.
You will lose your right to cancel your booking when you collect the keys for your room, even if this is within the period stated in your contract.
This policy is subject to contractual changes.
All cancellation requests must be made in writing by directly emailing your village reception team.
We will confirm within 14 days from receipt of your request to cancel whether further information is required or whether your request to cancel has been accepted. For the avoidance of doubt, until you have received confirmation from us confirming that your cancellation has been accepted, the contract between you and us remains active, and you remain liable for any payments due under that relevant contract.
First year students and first-time residents
If you are a first-year student or you are residing in the building for the first time, you may request to cancel and have any deposit and rental amounts which relate to your booking returned to you in the following circumstances:
- If you have received a conditional offer from your university, but do not achieve the required grades or get accepted into the university, you may request to cancel within seven days of A Level Results being released. This request to cancel must be provided to us in writing, along with supporting evidence that (a) you did not receive the required results, and (b) that you have not received a place at the university.
- If you require a visa to study in the UK, but your visa application is rejected, you may request to cancel up to seven days after the rejection of your visa application and no later than seven days following the release of A Level Results day. This request to cancel must be provided to us in writing, along with supporting evidence that your visa application has been unsuccessful.
Our right to cancel your booking.
We reserve the right to cancel your booking and resell your room in any of the following circumstances:
- You fail to collect your key within 14 calendar days of the date you are permitted to occupy your room from.
- Where the first rent instalment is due prior to the booking start date, and it is not received as cleared funds within seven days of the due date.
You remain liable for all amounts due under the contract until the room is sold and any rental amounts between bookings, which we may deduct from any deposit we hold.
If, after the commencement of your booking, you would like to be released from your contract with us, and a suitable replacement (in our absolute discretion) is found, we will release you from the contract from the date the replacement contract takes effect from. You will remain responsible for any rental arrears outstanding up to this date. Your deposit will be refunded subject to any permitted deductions by way of example (but not limited to) damage, cleaning, or rent.
If, after the commencement of your booking, you would like to be released from the contract, and a suitable replacement (in our absolute discretion) is not found, we reserve the right to retain the deposit. You will remain liable for the full rent and other charges detailed in your contract until the date your contract ends.
